How do you build a family budget and track spending?
Build a household budget from three months of bank statements, then keep it alive with a 15-minute weekly check.

Short answer
Download the last 3 months of bank and card statements, sort every line into 8-10 categories and take the monthly average. Write down your net household income and split it 50% essentials, 30% discretionary, 20% savings and debt payoff. Keep one sheet in Google Sheets and spend 15 minutes every Sunday entering the week's spending. Month one will be off; month two settles down.
What you need
Step by step
Download your statements
In your bank's mobile app open "Accounts", pick the account, tap "Transactions", set the date range to the last 90 days and use "Share" or "Download Excel/PDF". For cards, go to "Cards" > "Statement" > "Past Statements" and pull the last 3 cycles. Without raw data a budget is just guesswork. Time needed: 20 minutes.
Add up net income on one line
List salaries, rental income, freelance earnings and regular support payments using the amount that actually lands in the account. To confirm a salary figure, check the deposit line in your bank history or your official social security earnings record. Use net, never gross; a budget built on gross figures runs a deficit every month.
Sort spending into 10 categories
Open the downloaded file in Google Sheets with "File" > "Import" and add a "Category" column next to the amounts. Ten headings cover most households: groceries, rent and building fees, utilities, transport and fuel, health, education, clothing, eating out, subscriptions, and debt installments. Tag every row with one of them. Time needed: 45-60 minutes.
Work out the monthly average
On a separate sheet use a formula like =SUMIF(A:A,"Groceries",B:B)/3 to get the three-month average per category. For seasonal items such as electricity, gas and water, divide 12 months of bills by 12, since a winter gas bill can be three times a summer one. That way mid-month surprises stop happening.
Split the money 50-30-20
Send 50% of net income to essentials (rent, utilities, groceries, transport), 30% to discretionary spending and 20% to savings and debt payoff. If your real numbers sit above those shares, cut from the discretionary group first since it is the most flexible. If rent alone eats more than 50%, rewrite the split as 60-25-15 to match your situation.
Set cash limits with the envelope method
For hard-to-control categories like groceries, eating out and clothing, divide the monthly figure by four to get a weekly limit. Pay these with a single debit card and, if your app offers "Card Settings" > "Spending Limit", enter the weekly cap there. If you prefer physical envelopes, set aside the week's cash on Sunday.
Run a 15-minute weekly check
Every Sunday evening copy the week's transactions from the app into your sheet and compare planned against actual by category. Turn on SMS or push alerts for every transaction under "Settings" > "Notifications" in the banking app. Instant alerts mean nothing gets forgotten before you sit down.
Revise the budget at month end
On the last day of the month write the variance for each category as a percentage. If something is off by more than 20%, either the target was unrealistic or the habit did not change; decide which and update next month's number. A budget that holds for three months running counts as settled.
Tips
Watch out
Treating the credit card statement as your monthly spending is the most common mistake. With installment purchases the spending happens at checkout while the cash leaves over several months, so mixing the two makes the budget look healthier than it is. Track the remaining total of installment debt on its own line, or you risk the minimum-payment spiral and interest above 40% a year.
Frequently asked questions
+How long does it take to set up a family budget?
The first setup takes 2-3 hours including downloading statements and categorizing them. After that, 15 minutes a week plus a 30-minute review at month end is enough.
+Should I use an app or a spreadsheet?
Excel or Google Sheets is free and more flexible, and you define the categories yourself. If you have no time for data entry, budgeting apps that connect to your bank classify spending automatically, but you will still need to correct categories by hand.
+How do I budget if my income is irregular?
Take the average of your three lowest months from the past year as your baseline income and fit all essential spending inside that figure. Move the surplus from good months into the emergency fund.
+What if my partner and I disagree about spending?
Pay essentials from a joint account and give each of you an equal personal allowance that needs no explanation. Once the questionable area shrinks, so do the arguments.
+Do I have to keep receipts?
Not for card payments, since the bank statement covers them. Cash spending never shows up in a statement, so keep only those receipts in an envelope or note the amount on your phone as you spend.
