How do you book a Schengen visa appointment?

Every step from picking the right consulate to downloading your appointment confirmation form.

Short answer

Decide which country you are applying to, then check that country's consulate website in Turkey for its authorised application centre. Create an account there, open "Book Appointment", and pick your city, visa category and date. Pay the fees, download the appointment confirmation form, assemble your documents in list order, and bring your passport on the day.

Step by step

Identify your destination country

Under Schengen rules you apply to the consulate of your main destination. If you are visiting several countries, choose the one where you will spend the most nights; if the stays are equal, choose your country of first entry. Applying to the wrong country can get your file refused or returned.

Find the authorised application centre

Open the "Visa" or "Visas" section on the embassy or consulate website for that country in Turkey. It states who handles appointments: iDATA, VFS Global, BLS International, Gateway, or the consulate itself. Always follow the link on the consulate site rather than third-party sites.

Fill in the application form

Most consulates want the harmonised Schengen form completed online: Germany uses "VIDEX", other countries use their own e-application page. Print the completed form and sign it. Every entry must match the spelling in your passport exactly.

Create an account at the application centre

Use "Register" or "Create Account" on the centre's website and confirm your email address. Then open the "Book Appointment" or "Online Appointment" menu. Copy your personal details straight from your passport, without abbreviating anything.

Choose city, category and date

At the "Select Application Centre" step, pick the city nearest to you, then choose the correct purpose under "Visa Category": tourism, business, family visit and so on. On the "Appointment Calendar" or "Available Dates" screen, click a day shown in green and confirm the time slot.

Pay and download the confirmation

If the system sends you to a payment page, pay the visa fee and service charge by card; some centres collect payment at the counter instead. Download and print the "Appointment Confirmation Form" or "Appointment Letter" at the end, and keep the emailed copy.

Prepare your file to the checklist

Download the "Document Checklist" or "Required Documents" page for the visa category you selected. File the documents in the order given on the list, without dividers or staples. Missing paperwork is the most common reason an appointment is wasted.

Attend the appointment

Arrive before your slot with the confirmation form, passport and document file, since security and check-in take time. Staff review the documents and take your fingerprints and photo at the counter. Use the tracking number you receive on the way out to follow your case on the "Track Application" page.

If the calendar is full, check it at different times of day; cancellations free up new slots.
Extras such as "Prime Time", "Premium Lounge" or courier return are optional; your application is valid without them.
Save the email address and password you registered with, since rescheduling and cancellation only work from that same account.

Frequently asked questions

+Can I apply without an appointment?

As a rule no; Schengen applications in Turkey are taken by appointment only. Consulates may make exceptions in urgent humanitarian cases, which you need to raise with the consulate directly.

+Can I reschedule or cancel my appointment?

Log in to your account on the application centre's website and use the "My Appointments" section. Limits on how often you can reschedule and whether fees are refunded vary by centre.

+Do I still have to attend if my fingerprints were already taken?

If your biometric data is still valid, some consulates allow the file to be submitted by courier or a representative. Confirm this on the "Frequently Asked Questions" page of your own application centre.

+Which city can I apply in?

Each consulate covers applications from specific provinces, and application centres operate in cities such as Istanbul, Ankara and Izmir. Check the jurisdiction list on the relevant website to see which consulate covers your residence.
